WeFixPay is an independently operated UK-focused website providing salary calculators, NHS pay information, payslip analysis and educational financial resources.
We respect the privacy of our visitors and are committed to handling personal information responsibly and transparently in accordance with applicable UK data protection law.
This Privacy Policy explains how WeFixPay (https://wefixpay.com/) collects, uses and handles information when you visit our website, use our UK salary and financial calculators, contact us or use features such as our Payslip Checker.
WeFixPay provides free UK salary calculators, NHS pay guides, tax and pension calculation tools, payroll information and educational financial resources.
Some features may involve processing information you enter or upload. This policy explains the types of information involved, why we use it, when third-party services may be involved and the choices and rights available to you under applicable UK data protection law.
For privacy-related questions, you can contact us at contact@wefixpay.com.
Information We Collect
The information processed through WeFixPay depends on how you use the website.
Information you provide directly
When using our calculators or tools, you may enter details such as salary, working hours, tax code, pension contributions, student-loan plan and other information needed to estimate pay or deductions.
When contacting us through our Contact Us form, you may provide your name, email address, enquiry subject and message.
Payslip information
If you use our Payslip Checker, you may upload a payslip containing information such as your earnings, Income Tax, National Insurance, pension deductions and other payroll details.
Payslips may also contain identifying information, including your name, employer details, employee number or National Insurance number.
We encourage users to remove or obscure unnecessary identifying information before uploading documents.
Technical information
When you visit WeFixPay, certain technical information may be processed by the website, hosting provider or security services. This can include your IP address, browser information, device information and website activity.
WeFixPay may use cookies and similar technologies for essential website functions, security and remembering visitor preferences. We currently use Google Search Console to monitor search performance rather than Google Analytics for visitor tracking.
If we introduce non-essential analytics or advertising technologies in the future, we will update this Privacy Policy and implement appropriate consent controls where required.
How We Process Payslip Uploads
The WeFixPay Payslip Checker allows users to upload payslip documents to help understand their earnings, Income Tax, National Insurance, pension contributions and other payroll deductions.
When you upload a payslip, the document is processed temporarily to extract and analyse relevant payroll information.
How uploaded payslips are handled
- Uploaded documents are used to provide the payslip analysis requested by the user.
- WeFixPay is designed to process uploaded payslips temporarily and delete temporary copies after processing.
- The complete uploaded payslip document, including any personal information it contains, is transmitted securely to OpenAI’s API for analysis. This may include names, employee identifiers, National Insurance numbers or bank details if these appear on the document.
- We advise users to remove or obscure unnecessary personal information before uploading payslips.
WeFixPay does not require users to create an account to access the Payslip Checker.
Important privacy information
Payslips may contain sensitive personal and financial information. Users should avoid uploading documents containing unnecessary identifying information, including National Insurance numbers, bank account details and home addresses.
The deletion of temporary files from WeFixPay does not necessarily mean that all processing records held by third-party service providers are deleted at the same time. Applicable third-party retention and processing arrangements should be reviewed separately.
Use of Artificial Intelligence (OpenAI API)
WeFixPay uses the OpenAI API to support the analysis of payslips uploaded through our AI-powered Payslip Checker.
How the AI processing works
When a user uploads a payslip to the WeFixPay Payslip Checker, the uploaded PDF or image is temporarily processed by our website and the complete document is transmitted securely to OpenAI’s API for analysis.
Because the complete document is submitted, OpenAI may receive personal information appearing on the payslip, including names, National Insurance numbers, employee identifiers or bank details, where these are present.
The Payslip Checker instructs the AI not to extract unnecessary personal identifiers into its results. However, these instructions do not remove such information from the document before it is transmitted.
WeFixPay’s API requests include a setting that disables storage of responses as retrievable application state. This does not eliminate any separate retention that may occur under OpenAI’s applicable API data-processing, security or legal arrangements.
WeFixPay’s code also attempts to delete the temporary uploaded file after processing. We have not independently verified deletion in every situation, and third-party retention arrangements are separate from WeFixPay’s temporary-file handling.
Privacy and data handling
OpenAI processes information submitted through its API under its applicable business terms and data protection arrangements.
According to OpenAI’s published policies, information submitted through its API is not used to train OpenAI models by default, unless the API customer explicitly opts in to data sharing.
OpenAI may retain certain information for operational, security, abuse-monitoring or legal purposes, depending on the API service and applicable settings.
Users should remove or obscure unnecessary personal information before uploading their payslips.
Accuracy of AI-generated information
AI-generated payslip explanations are provided for general educational purposes. They may contain errors and should not be treated as official payroll calculations or professional financial advice.
Users should verify important information with their employer, payroll department, HM Revenue & Customs or another appropriate official organisation.

How We Use Your Information
WeFixPay processes information provided by visitors to operate the website, deliver its calculators and tools, respond to enquiries and maintain the security and reliability of its services.

Providing salary and financial calculations
We use information entered into our calculators to generate estimates of take-home pay, Income Tax, National Insurance, pension contributions, student-loan repayments and other financial calculations.
Providing payslip analysis
When you use our Payslip Checker, we process your uploaded payslip to identify and explain earnings, tax, National Insurance, pension contributions and other payroll deductions.
The complete uploaded PDF or image is transmitted to OpenAI’s API for analysis. This may include personal information appearing on the document. We recommend removing unnecessary personal identifiers before uploading your payslip.
This processing enables us to provide the payslip analysis you request.

When you contact WeFixPay, we use the information you provide, including your name, email address and message, to respond to your enquiry, investigate reported problems or consider suggestions.
Maintaining website security
Technical information may be processed to help identify suspicious activity, prevent misuse, investigate errors and maintain the security and performance of the website.

WeFixPay does not require visitors to create an account to use its general salary calculators or Payslip Checker.
Contact Forms and Email Communications
WeFixPay provides a Contact Us form to allow visitors to submit questions, feedback, corrections and technical enquiries.
When you submit the form, we receive the information you provide, which may include:
- Your name
- Your email address
- The subject of your enquiry
- The contents of your message
We use this information to review and respond to your enquiry.
Contact-form notifications are delivered through our website’s email system using WPForms, WP Mail SMTP and our Hostinger email service.

We do not use contact-form submissions to subscribe visitors to marketing communications without an appropriate lawful basis.
For your privacy and security, please do not submit payslips, National Insurance numbers, bank account details, passwords or other unnecessary sensitive information through our general contact form.
You can contact us about your personal information at contact@wefixpay.com.
Cookies, Analytics and Advertising
WeFixPay may use cookies and similar technologies to support website functionality, maintain security, understand website performance and improve the experience of visitors.
What Are Cookies?
Cookies are small text files that websites may store on your device when you visit them. They can help websites remember preferences, support essential functions and provide information about website usage.
Essential Cookies
Certain cookies may be necessary for the operation, security and performance of WeFixPay. These may be used by WordPress, our hosting provider and website security services.
Payslip Checker Usage Limits
To prevent excessive use of our AI Payslip Checker, WeFixPay limits ordinary visitors to three scans within a 24-hour period.
For this purpose, WeFixPay uses a visitor’s IP address or, where applicable, their WordPress user ID to generate a protected identifier using a keyed cryptographic hash.
The resulting identifier is used to track the number of scans and the time of the first scan. This usage information is stored temporarily using WordPress’s transient system, with an expiry period of up to 24 hours.
The scan-limit records do not contain uploaded payslip documents or extracted salary figures.
This processing supports the security and fair use of the Payslip Checker. The hashed identifier may still qualify as personal information under applicable data protection law.
Analytics and Website Performance
Google Search Console
WeFixPay uses Google Search Console to monitor the website’s visibility in Google Search, including search impressions, clicks, indexing and search performance.
Google Search Console provides aggregated search performance information and does not require WeFixPay to install Google Analytics tracking cookies on visitors’ devices.
We may also use technical information from our hosting provider, website software and security services to monitor performance, investigate errors and maintain website security.
If we introduce additional analytics services in the future, we will update this Privacy Policy and implement appropriate cookie consent controls where required.
Advertising and Google AdSense
WeFixPay may introduce advertising through Google AdSense or other advertising partners.
If advertising services are introduced, those partners may use cookies or similar technologies to deliver advertisements, measure their effectiveness and, where permitted, personalise advertising.
WeFixPay will update this Privacy Policy and implement appropriate consent controls before activating advertising technologies that require visitor consent.
Managing Cookies
Visitors can manage or delete cookies through their browser settings. Where WeFixPay offers cookie preference controls, visitors will also be able to manage relevant non-essential cookies through those controls.
For more information about the cookies and similar technologies used by WeFixPay, please read our Cookie Policy (UK):
WeFixPay uses a cookie consent management system to help visitors manage their cookie preferences.
When visiting our website, users can accept or reject optional cookies and access available preference settings through the cookie consent banner.
Visitors can also review or change their preferences using the Manage consent option displayed on our website.
Essential cookies required for basic website functionality may remain active. Optional cookies and similar technologies that require consent should only be activated after the visitor has provided the necessary permission.
For more information, please refer to our Cookie Policy (UK).
Data Retention and Security
WeFixPay takes reasonable steps to protect information processed through its website and services.
Data Retention
We retain personal information only for as long as necessary for the purposes for which it was collected, subject to applicable legal requirements.
Uploaded payslips are designed to be processed temporarily and deleted from WeFixPay’s temporary storage after processing. Third-party service providers, including OpenAI, may have separate data retention arrangements.
Contact-form messages and email correspondence may be retained for the time necessary to respond to enquiries, resolve technical issues or comply with applicable legal obligations.
Technical logs and security information may be retained for periods determined by the relevant website, hosting and security configurations.
Information Security
WeFixPay uses HTTPS encryption to help protect information transmitted between visitors and the website.
We also use website security measures and access controls intended to reduce the risk of unauthorised access, misuse or disclosure.
However, no internet-based service can guarantee complete security. Visitors should avoid submitting unnecessary sensitive personal information.
